Job Title:             Administrative Assistant - Ringgold High School

Reports to:           Building Principal

 

Primary Purpose:

            To provide administrative support to the department by performing a wide variety of complex clerical and administrative duties, often of a confidential nature. To assure the smooth and efficient operation of the department and to continuously improve efficiency and accuracy in the performance of job responsibilities.

 

Qualifications:

Minimum Education and/or Experience:

  • High school diploma and one year of administrative support experience

Preferred Education and/or Experience:

  • Associates Degree in Office Administration or Related Program and one year of administrative support experience

Essential Functions:

  • Performs administrative duties to support the development, implementation and coordination of the work and activities that support the responsibilities and operation of the department/office.
  • Facilitates the design, and implementation of assigned, duties, activities, services and programs to meet specific needs and responsibilities of the district/department. Makes recommendations concerning the administration and implementation of activities related to the district/department.
  • Provides support, information, assistance and services to principals, administrators and staff.
  • Performs general office duties including but not limited to answering phones and directing calls, responding to or redirecting emails. Composing, preparing, typing and maintaining forms, reports correspondence, and memos. Interacts with others in a positive and professional manner. Is discrete, diplomatic and active, and listens attentively.
  • Uses computer/technology skills in performance of duties, such as use of the Internet, accessing databases, spreadsheet design, desktop publishing and creation of forms. Updates skills to ensure ability to use technology and implement new practices and procedures as they are developed.
  • Abides by federal, state and local school laws and regulations, mandated programs, district policies and administrative regulations and applicable collective bargaining agreements with district employees. Maintains confidentiality with all District and School Board information, including District and school population information.
  • Prepare for staff in-service trainings, workshops, and meetings
  • Establishes, maintains and oversees filing systems appropriate for office environment and in accordance with standardized records management procedures; retrieves filed documents and materials; maintains classified or confidential materials in accordance with security procedures; transfers and discards files in accordance with established business procedures and schedules.
  • Performs general office duties, including but not limited to telephone/e-mail, intercom message systems, mailing duties, receptionist duties, preparation/editing of correspondence/reports, scheduling, general filing, photocopying, maintaining records, and monthly reports.
  • Maintains confidentiality with all District information, including District and school population information.
  • Maintain all discipline files for student body as directed by administration (i.e. In-School Suspension, Out-of-School Suspension documents and letters)
  • Attending Open House, Parent/Teacher Conferences, issuing Working Permits throughout the school year and during the summer, monitoring visitors, and monitoring Walkie-Talkies.
  • Serving as a backup secretary to the Guidance and Attendance secretaries as needed throughout the school year and during the summer months during allotted vacation time.

Evaluation:

Performance of this job will be evaluated annually in accordance with the provisions of the applicable policies of the Ringgold School District.
